Euro Executive Recruitment has been retained by an internationally renowned contractor to hire an administrator to support the commercial/construction teams on a project based in Clare,

  • Data to be entered into a software package in a timely manner to ensure site costs are kept up to date,
  • Liaise with accounts payable team to ensure invoices are paid on time,
  • Review weekly invoice report to ensure costed and unmatched invoices to contracts are up to date and correct
  • Preparing invoice approvals and liaise with site team to achieve sign off as required
  • Managing and monitoring disputed invoices in a timely manner with both suppliers and accounts
  • Monitoring returns through site team liaison and chasing credit notes from suppliers
  • Liaising with Works Manager / General Foreman as to requirements and on-hire / off-hire requirements are known
  • Ensuring all plant on-hire / off-hire dockets are kept up to date and recorded in the cost system.
  • Managing cost system, delivery notes, collection tickets, damage notifications
  • Weekly plant on/off hire review with Commercial lead / Works Manager / Foreman
  • Ensuring all materials delivered are recorded in timely manner in cost system
  • Good received notices to be registered on system in a timely manner
  • Matching of dockets / invoices with special notice to part load charges / waiting times and other special charges
  • Provide administration support to project team


  • Experienced in general administration
  • IT literate and competent in use of software packages such as Excel, Word, Outlook and relevant cost system
  • Clear and effective written and verbal communication skills
  • Can do attitude essential
  • Enthusiastic and self-motivated
  • Ability to multitask and prioritise workload
  • Proven team player
  • Strong commitment to a high level and consistency of service / delivery
  • Computer literate including Word, Excel email and Internet.
  • Good communication and telephone manner
  • Ability to use initiative
  • Discretion and confidentiality
  • Experience would be an advantage, but full training will be provided.
  • High volume of data entry experience desirable
